Hiring: FT Adult Literacy Administrative Assistant for Queens-based Adult Literacy classes
 
Make the Road New York (MRNY) builds the power of Latino and working class communities to achieve dignity and justice through organizing, policy innovation, transformative education, and survival services. Make the Road New York operates neighborhood-based community centers in Bushwick, Brooklyn; Jackson Heights, Queens; Port Richmond, Staten Island; Brentwood, Long Island and White Plains in Westchester County. With a membership of 23,000+ low-income New Yorkers, MRNY tackles the critical issues facing our communities: workplace justice, tenants’ rights, immigrant civil rights, language-access, LGBTQ justice, public education, health care access, and immigration reform.
 
MRNY is a multi-service organization. Our Adult Literacy Department offers English to Speakers of Other Languages (ESOL), computer literacy, citizenship preparation and in-school and after-school youth programs.  Our Community Organizing Projects help New Yorkers to implement strategies to combat shared problems, and develop leadership and the capacity for civic participation. And our Legal and Health Services Departments provide direct legal representation, case management, and facilitated enrollment into public health insurance programs, training, and strategic support for members and organizing campaigns. Our attorneys and advocates specialize in labor and employment law, public benefits, disability benefits, housing law, healthcare and health insurance access, immigration, public education, domestic violence, and LGBTQ (Lesbian, Gay, Bisexual, Transgender and Queer) civil rights issues.
 
Our Adult Literacy Department in Queens runs an average of 15 different ESOL and Civics classes every cycle for 3-4 cycles a year.
 
Current Opening:
MRNY’s Adult Literacy Department seeks a highly responsible, organized, and dedicated full-time Program Assistant to do intensive data entry and other tasks to support the adult literacy program.  The Program Assistant will be responsible for entering data in multiple databases, helping with student outreach, intake, testing and other administrative tasks to support MRNY’s English, Citizenship and other classes as needed.
The Program Assistant will, among other things:
·      Enter student and program data into ASISTS, Connect, Capricorn and Salesforce databases
·       Run and analyze data reports and take action to improve data for funders
·       Communicate with IT staff for Salesforce troubleshooting
·       Provide training and coordinate/communicate with other staff including teachers, volunteers and other agency partners
·       Attend training and meeting as needed
·       Review students’ records, email staff with different requests, answer and make phones calls, do photocopying, faxing, filing, typing,  and updating of waiting lists.
·       Pre and post test students’ English language skills using Best Plus software and Civics skills using the AACE
·       Call students for intake and testing appointments, for re-enrollment, to follow up on absences, etc. if/as needed
·       Enter notes in our database or Google forms about new class candidates, attendance, call notes, outreach work, scheduled appointments, test scores, etc.
·       Carry out registration and re-enrollment of students
·       
·       Communicate via phone, email, etc. with team members and across the organization as needed to keep work moving smoothly
·       Complete other tasks, as needed, to support the department.
Requirements:
  •  Eligible to work in the US
  •  Associate’s degree in Business Administration or related area of study
  •   At least 2 years previous experience doing data entry and administrative work in an office setting
  •   Must be fully bilingual in English and Spanish (spoken and written), and comfortable communicating in Spanish
  •   Database experience
    • Strongly  preferred:
    • specific experience with ASISTS, Connect, Salesforce and Capricorn databases
    • experience not just entering data, but running and analyzing data reports and taking action to improve data quality and outcomes
 
Job Competencies:
  •  Ability to type at least 35 wpm and demonstrated computer experience using office programs including, Salesforce, ASISTS, Word, Excel, Publisher, etc.
  • Must have a strong ability to multi-task, meet deadlines as needed, learn fast, take initiative and work independently with high standards.
  • Must be a trustworthy individual, with the flexibility to work different days and hours, including occasionally during the evening and on weekends. Must be efficient, communicative, a team player and work well under pressure; Occasionally must be willing to support our work in Brooklyn  or Staten Island, as needed.
 
Compensation: Starting compensation is based on a scale set by a democratically-elected personnel committee and will depend on factors such as experience and education.  MRNY offers a generous benefit package including health insurance and 401K.

Company Description: 
CUNY Start and Accelerated Study in Associate Programs (ASAP) are two of CUNY’s most successful programs. CUNY Start helps students prepare for college-level coursework and reduce or eliminate any remedial needs prior to starting credit-bearing courses. ASAP students are provided essential college supports to ensure high rates of college graduation. Both programs have demonstrated outstanding outcomes for their students. Math Start, under the auspices of the CUNY Start program and based on its curriculum and pedagogy, is an intensive 8-week program for CUNY students who want to increase their math proficiency before starting credit-bearing classes.
CUNY Start has received a four-year grant from the Conrad N. Hilton Foundation to serve transition aged youth from foster care who wish to pursue associate degrees at CUNY, but who have significant remedial needs in reading, writing, and/or math based on their CUNY Assessment Test scores. The grant, known as the Foster Care Initiative supports the development of strategic partnerships with foster care agencies and the New York City Administration for Children’s Services (ACS) to create a college success/ graduation pipeline for 325 college-bound foster care youth into CUNY Start/Math Start and the University’s acclaimed Accelerated Study in Associate Programs (ASAP).

Job Description: 
CUNY Start/Math Start is seeking a highly motivated, self-starter with outstanding administrative and communication skills to provide administrative support the CUNY Start/ Math Start and FCI programs for 19 hours weekly. Reporting to the Associate Director of CUNY Start/Math Start, the Program Assistant supports the daily operational needs of the successful operations of CUNY Start/Math Start and FCI program. 

Salary(if applicable): 
$20.00 per hour 

Schedule: 
Monday-Thursday: 10:00am-3:00pm or 1:00pm to 6:00pm
Tuesday-Friday: 9:00am-2:00pm or 1:00pm-6:00pm

Administrative Assistant I
​The YMCA of Greater New York seeks a professional Administrative Assistant to work at the Y Roads Literacy Centers (YR-LC) in East New York.  The program serves young people, ages 17 to 24, who identify as having a particularly difficult time making the successful transition to adulthood, commonly referred to as opportunity youth.  These young people are not enrolled in school, do not have their high school diploma and are not working full-time. 

The part-time non-exempt Administrative Assistant is responsible for administrative and general office duties that support the Y Roads Literacy Center program including data entry, doing intakes, ensuring classrooms and spaces are ready, and recruitment and building a referral base for the Literacy Center’s participants. 

Responsibilities:
  • Provide administrative and clerical support to Y Roads Literacy Center staff.
  • Operate all office machines and develop and take control of office inventory and purchasing of supplies.
  • Ability to maintain required confidentiality.
  • Manage room, program and workshop schedules.
  • Maintain calendar, program and personnel files; program and office spaces.  
  • Answer phones and direct calls to the appropriate staff or department; take clear messages when necessary.
  • Assist in researching potential referrals and organizing referral databases.
  • Communicate with all staff, participants, and community members in a polite and respectful manner.
  • Assist in event planning and fundraising efforts.
  • Compile and enter participant demographics and program data into internal databases / spreadsheets, and funder database.
  • Greet students, staff and visitors; inform students of daily programming.
  • Actively participate in all training sessions and designated meetings.
Qualifications:
  • High School Diploma, GED/HSE or equivalent.

Administrative Assistant-Summer 

Summary of Position: The program assistant is responsible for providing administrative support to the deputy and/or program director.   The program assistant will attend weekly individual and group supervision meetings, assist program managers with data analysis, complete clerical tasks, attend conferences/trainings as needed.

Summary of the Agency: The Coalition for Hispanic Family Services is a multi-service agency serving children and families of North Brooklyn.  These include foster care, adoption, youth development, primary health care, mental health, HIV/AIDS case management, community health education and outreach, in-service internships and after school education.
Duties:
  • Act as the first line of communication between Cornerstone & the community at large.  Respond to telephone inquiries, e-mails, and any written communication as directed. 
  • Type memos, correspondence, reports, and minutes for most meetings. 
  • Organize documents for all contracts and DOH requirements as directed
  • Prepare admission applications, collect and review all applications, and assist data clerk with application entry.
  • Assist Data Analyst and Program Managers in maintaining participant database including creation of attendance sheets for daily activities as well as onetime events
  • Assist Program Managers in analyzing program data and generate reports as needed      
  • Serve as liaison for main office:
  • Assure timely communication within the Cornerstone Community Center & CHFS
  • Maintain current records and files of staff, co-locators, participants, contracts, etc.  
  • All responsibilities related to petty cash for programming through operations following correct policy and procedure as directed
  • All responsibilities related to human resources including time sheets, new hire packets, scheduling interviews; all through following correct policy and procedure as directed. 
  • All responsibilities related to check request for stipends, vendors, etc. maintaining receipts, invoices, and time sheets.  
  • All responsibilities related to ordering supplies for programming through operations following correct policy and procedure as directed.
  • Maintaining Directors Calendar and Program Calendar
  • Participate in all trainings relevant to program and position
  • Order and maintain rosters for school foods snack, lunch and dinner programs.
  • Serve as Health Director
Qualifications: 

  • College degree or comparable experience required.  
  • Must be highly organized and detail oriented with strong ability to multitask.
  • Must be highly computer literate, and proficient in Microsoft Office with concentrated strength in Microsoft Excel.  
  • Interest in Community Development and Youth Development.  
  • Occasional flexible schedule is required.  
  • Bilingual Spanish is required.
